When you sign up with Nexalis Dominion, we're gonna need some basics to get you rolling:

  • Personal Details: Name, email, phone number, address - the usual stuff so we can reach you and process payments.
  • Health Info: Medical history, injuries, fitness goals. We need this to keep you safe and design programs that won't wreck you.
  • Payment Data: Credit card info, billing details. This goes through secure payment processors - we don't actually store your full card numbers.
  • Performance Metrics: Workout logs, PRs, body comp measurements. Helps us track your progress and adjust your programming.
  • Usage Data: How you interact with our website and booking system. Basic analytics to make things work better.

We're only collecting what we actually need - no random data harvesting happening here.

Here's what we actually do with your data:

  • Training Programs: Customizing your workouts based on your goals, limitations, and what you're trying to achieve.
  • Safety First: Making sure our coaches know about any injuries or health conditions before you start throwing weight around.
  • Communication: Sending you class schedules, appointment reminders, program updates. The stuff you actually wanna hear about.
  • Billing & Membership: Processing payments, managing your membership status, sending receipts.
  • Progress Tracking: Keeping tabs on your gains so we can celebrate wins and adjust when something's not working.
  • Facility Management: Booking classes, managing capacity, maintaining equipment schedules.

We're not selling your email to supplement companies or sharing your squat numbers with anyone outside our facility. Your data stays with us and serves one purpose - helping you dominate your fitness goals.

We're pretty protective of your info, but there are a few situations where we might need to share it:

  • Payment Processors: Companies like Stripe or Square handle transactions securely. They're PCI compliant and know their stuff.
  • Email Services: We use platforms to send newsletters and updates. They get your email but nothing sensitive.

  • Correction: If something's wrong or outdated, let us know and we'll fix it ASAP.
  • Deletion: Want us to delete your account and data? We'll do it, though we might need to keep some billing records for accounting purposes.
  • Opt-Out: Don't want marketing emails? Unsubscribe anytime. You'll still get important account and safety notifications though.
  • Data Portability: Need to take your training data elsewhere? We'll export it in a usable format.

Our website uses cookies - not the protein cookie kind, unfortunately. Here's the deal:

  • Active Members: As long as you're training with us, we keep your full records current and accessible.
  • Former Members: After you leave, we'll keep basic info for 7 years (Canadian tax law requires this for financial records). Training logs get archived but stay accessible if you come back.
  • Marketing Lists: If you unsubscribe, we remove you within 10 days max.
  • Medical Info: Health records are kept for 10 years minimum in case of liability issues or if you return to training.
  • Security Footage: Video from our facility is kept for 30 days then automatically overwritten unless there's an incident.

Want us to delete everything sooner? Just ask. We'll do what we legally can while respecting mandatory retention requirements.

We train athletes of all ages, including youth competitors, but we're careful with kids' data:

  • Age Requirements: Anyone under 16 needs parental or guardian consent to train with us.
  • Parental Access: Parents/guardians can access, modify, or delete their kid's information anytime.
  • Limited Collection: We only collect what's necessary for safe training - no marketing to kids.
  • Waiver Requirements: Parents must sign liability waivers and health disclosure forms before any training starts.

Youth athletic development is important to us, but safety and privacy come first. Parents are always kept in the loop.

We hope it never happens, but if there's a data breach affecting your information:

  • Immediate Action: We'll contain the breach, assess the damage, and secure our systems ASAP.
  • Notification: You'll be contacted within 72 hours if your data was compromised. We'll tell you exactly what happened.
  • Transparency: No corporate BS - we'll be straight about what data was accessed and what the risks are.
  • Support: We'll help you take protective steps like changing passwords or monitoring credit if needed.
  • Legal Compliance: We'll notify relevant authorities as required by Canadian privacy law.

We take security seriously and have protocols in place, but if something goes wrong, we won't hide it or downplay it.

Privacy laws change, technology evolves, and our practices might need adjusting. When we update this policy:

  • Notice: We'll email active members about significant changes at least 30 days before they take effect.
  • Website Updates: The "Last Updated" date at the top will always reflect the most recent version.
  • Material Changes: Big stuff that affects how we use your data will require your renewed consent.
